Fleet vehicle upgrade -- prorated reimbursement.

(This report is specific to HPE -- but a similar policy probably applies to HP Inc.)

A member reported in October 2017...

HPE's Fleet Vehicle Program provides for an employee to be reimbursed for any vehicle upgrade charges at a pro-rated rate if you were WFRed.

This is not covered anywhere in the mountains of WFR documents provided -- and the reimbursement must be requested manually or you won't get anything back.

In my case, I paid an upgrade charge at the time of ordering but was WFRed 16 months into the 24-month lease period. I was entitled to a prorated reimbursement.

Both HPE and Element (HPE's fleet company) responded and approved reimbursement in 24 hours.

The amount will credited via the normal payroll and Lump Sum distribution method chosen. Direct Deposit etc.

 

Instructions for HPE:

Send an email to: globalfleet@hpe.com and efleet@elementcorp.com

Subject: Include Fleet Vehicle # and VIN # and "Pro-rated Refund of Vehicle Upgrade"

Message Body: Give your case details [VIN#, Fleet#, Upgrade Charge, Date Paid (usually at time of ordering), Fleet Policy FAQ (see below), Contact information.]
 

From the HPE Fleet Program Policy Terms FAQ:

3. What if a participant chooses an upgrade vehicle and then leaves the Company, or his/her vehicle eligibility status changes?

Pro-rated refunds are provided to participants whose status is impacted by a workforce reduction/position elimination. A pro-rated refund of the upgrade charge may be refunded to the participant affected by WFR, based on the period remaining in the Program term, as determined by Fleet Management. Any pro-rated refund will not include driver-paid options or any paid taxes.

Note: Participants who are eligible for a pro-rated refund of the vehicle upgrade charge (VUC) will receive it as a deposit into their bank account.
